ClubGG club cashier: debts, deposits and withdrawals in one place
For a club manager, an evening looks like this. One player asks for chips on credit. Another sends money and waits for chips. A third won and wants to cash out. A fourth asks to move chips to a friend. All at the same time, while the tables are running.
Every one of these moves has to be written down somewhere. Usually that's a spreadsheet, notes on a phone or messages in the owners' chat. With ten players it's enough. With thirty, the records start drifting away from reality, and you find out at the worst moment: a player says "I never took anything", and there's nothing to prove otherwise.
Where a club's cashier usually goes wrong
Two places to write. Chips were sent in ClubGG, but nobody added them to the spreadsheet. Or they were added twice: once in the spreadsheet and again while checking the chat.
Transfers between players. Chips went from one player to another, and it's unclear who carries the debt now. A week later nobody remembers who gave what to whom and why.
Cashing out a player who still owes. The manager sees plenty of chips and pays out. That half of those chips were taken on credit is only visible on another tab.
Debt above the agreed amount. The owner said "no more than a thousand", and three top-ups later the player owes two. Nobody noticed because nobody was adding it up.
Nobody knows who did it. Two managers, both edited the spreadsheet. Who changed the number and why can't be traced.
A new manager. The old one left, and the knowledge of how their spreadsheet works left with them.
None of these mistakes is about carelessness. It's what normally happens when a club's money is kept by hand in several places at once. We wrote separately about how this makes player debts drift.
How the EasyRake cashier works
The EasyRake cashier is a screen in the club's Telegram app. The manager opens it right in Telegram, picks a player and an operation. No spreadsheets, formulas or manual totals.
Four operations on one screen:
- debt: chips on credit, the amount goes straight into the player's debt;
- deposit: the player sent money, the cashier records where it arrived (crypto, card, cash) and lowers the debt;
- withdrawal: the club pays the player out for their chips;
- transfer: chips from one player to another, visible on both player cards.
Amounts are entered with +250, +500, +1000 buttons or typed in.
Everything visible before you press. Next to the player the cashier shows their chips, debt, debt limit and how much of the limit is left. If a top-up would go over the limit, the app warns you. The manager still decides, but it can no longer happen silently.
The player card adds it up. Nothing needs recounting after an operation. The player card shows the new debt, chips and the full history right away: every top-up, deposit, withdrawal and transfer on its own line, with the date and what the debt became after it. When a player disputes an amount, the answer takes a minute.
Confirmed by the ClubGG report. Until the ClubGG report for that day arrives, the operation shows as awaiting confirmation. When the report comes in, the confirmation is set automatically.
Every operation in the club chat. The app copies operations to the owners' chat by section: debts, deposits, withdrawals. With the amount, the player and the manager's name. The owner sees everything happening in the club without opening the app.
Mistakes can be cancelled, not erased. A wrong operation is cancelled with one button and stays in the history crossed out. Quietly rewriting an amount after the fact is not possible.
Player requests. A player can ask for chips, a deposit or a withdrawal from their own dashboard. The manager gets a notification, and the request already shows the player's debt and chips. One button opens the cashier with the amount filled in, and once it's done the request closes by itself.
Agents. Chips given to an agent for their players and chips given to the agent personally are recorded differently, and the agent settlement is kept separately.
Why it's a CRM, not just a cashier
A spreadsheet stores rows. A CRM stores people. In EasyRake every player has one card with everything in it: current debt and chips, money history, rakeback, debt limit, the referral partner who brought them, their Telegram contact and their requests. The manager doesn't have to remember who's who: everything about a person is one tap away.
Access is split. The manager works with the cashier and players. Club settings, subscription and access stay with the owner.
What it gives the club
Fewer mistakes. Every amount is written once, in one place, and shows up in the player's debt immediately.
Fewer disputes with players. There's always a history for every person, with dates and who did what.
Peace of mind for the owner. They see every move in the chat and get a report after every game day.
A manager is easy to replace. A new person opens the same app and carries on from the same place.
